Your privacy is very important to us and to adhere to the new General data protection regulation legislation of 2018 (GDPR) we here at Astares have undertaken the following process to ensure we are doing everything in our power to protect the personal data of our customers. To ensure we are adhering the new GDPR legislation and upholding the data protection act of 1998, we have undertaken the following. Our lawful basis for obtaining personal data under article 6 complies with the consent obtained as implied when customer go ahead with an order and pay a deposit that we keep their personal details including clothing sizes. The contract that you agree to by going ahead with an order. (full terms and conditions can be found at the bottom of your quote and all customers are given a T&C hard copy after their first appointment with us). Finally, we have a legitimate interest. This is an indication that we need to store date such as telephone numbers for customers otherwise we wouldn’t be able to contact you to update you on your orders. Your details are never shared with a third party unless, you are purchasing through our online store, which on payment will direct you to a third-party payment window. We do our upmost to ensure the security of our website is intact however we advise you to carry out security checks of your own, e.g. is the padlock locked? Under article 13 and 14 of the GDPR 2018, we can provide each individual detail on the information we have for that individual which complies with article 6 and 5 (a). However, we would not divulge personal details to anyone other than that individual. For example, if Barry owed us £500.00 on an outstanding order and Barry’s mother contacted us to settle this bill but wanted to know the outstanding balance, we would not be at liberty to discuss Barry’s bill with anyone other than Barry unless we had direct consent fromr Barry that we could discuss his bill with his mother. You always will have the right and option to opt out of any direct marketing sent from Astares menswear limited. Our data protection officer is Mr Jeremy Hart. Everyone employed by Astares menswear limited are all collectively responsible for ensuring data that is collected is stored and handled appropriately in accordance to the GDPR 2018 legislation and the Data protection act of 1998. Staff have undertaken GDPR training. All our computers are protected with a strong password and are changed monthly. Only Astares menswear employees are authorised to use these terminals and they are updated with relevant appropriate antivirus software. All hard copy paperwork is kept in a locked filing cabinet in a secure location which the public do not have access to. This is accessible only by staff members. Soft copies of customers data are stored on Xero software which has its own GDPR compliance, this is in place to protect your data from unauthorised access, accidental deletion and malicious hacking attempts. The soft copy data is stored on a separate server. We never share your details electronically and your details will never be saved to a computer terminal at Astares. All hard copies will be kept for seven years and then destroyed appropriately by cross shedding and disposal by an accredited disposal team of sensitive data. Astares menswear limited will hold your data in as few places as possible, staff will not create any unnecessary additional data sets. Staff will take every opportunity to ensure data is updated. Subject access requests; As customers if we have taken personal data from you, you are entitled to ask what information the company holds about you and why also if you wish this to be deleted. Please note, if you have an active order with us, deletion of this information would imply you wish to delete your order with us which would surrender your non-transferrable, non-refundable deposit to us.
